Calculation settings

Rounding applies once to daily totals by default, or once to the overall total when selected. Both overtime mode uses the higher estimate; it does not add the two. This is arithmetic, not state-law compliance, taxes or payroll advice. Method & limitations.

Decimal hours are the column to use in your payroll sheet.

Use this timesheet calculator to choose one or two weeks and enter your working periods. Each completed period contributes to the daily total. Unpaid breaks reduce your hours; paid breaks stay included. Add your hourly rate to estimate gross pay. Copy, print or download your results when you are ready.

How to use this timesheet calculator

Choose one week or two, then set the day your workweek starts. Enter a clock-in time, clock-out time and lunch break for each working day. Leave days off blank. Check the hours, decimal totals and weekly overtime in the results panel. Add an hourly rate if needed, then copy the summary, print it or download a CSV.

How hours are calculated

This time sheet calculator uses end − start − unpaid break for each completed period. A paid break is included rather than subtracted. If the end is earlier than the start, the period ends the next day: 22:00 to 06:00 is eight hours before any unpaid break. Equal start and end times count as zero, not a full day. Add separate periods for split shifts; the day total is their sum. Optional rounding uses the nearest 5, 10, 15, 30 or 60 minutes, applied once to each daily total by default, or once to the overall total. Choose nearest, up or down. Leave rounding off to preserve exact minutes. Invalid times and incomplete periods are flagged and excluded until corrected.

Decimal hours vs hours and minutes

Hours and minutes describe elapsed time; decimal hours express the same duration as a number. Divide minutes by 60 to convert them. One hour and thirty minutes is 1.5 hours, not 1.3. Payroll and spreadsheet systems often require decimal hours for multiplication by an hourly rate. The calculator retains whole minutes internally and displays decimals to two places; small display differences can occur when rounded decimal rows are added separately.

Weekly vs biweekly, and how overtime works

The default estimate identifies hours above 40 in each fixed workweek. Under the FLSA, a workweek is a recurring 168-hour period; it need not follow the calendar week. Match the start day to your employer’s workweek. Two-week mode evaluates each week separately: 45 hours followed by 35 gives five overtime hours, not zero. Use the biweekly timesheet calculator preset for this layout. Optional daily mode estimates hours above eight per day; it is not a complete California payroll calculation. Pay eligibility and applicable rules require separate review.

Splitting a shift into multiple periods

Use Add period when a day has a morning shift and an evening shift. Enter each start, end and break separately; the calculator adds the periods into one daily total. You do not need to calculate each shift separately and add the answers by hand. For today’s individual punches, try the clock in calculator. If a gap already represents lunch, do not subtract that same lunch again.

Common mistakes

Check these four things before using your result: deduct an unpaid lunch when it falls inside a recorded period; treat an earlier ending time as the next day; convert 1:30 to 1.5 hours rather than 1.3; and calculate overtime separately for each workweek instead of applying an 80-hour threshold to two weeks. Review the first period’s default break and avoid deducting a lunch gap again when adding split shifts.

Frequently asked questions

How do I calculate hours worked from a timesheet?

For each working period, subtract clock-in from clock-out, then deduct any unpaid break. Add the completed periods for each day and total the days for the week. This page does that arithmetic for you and shows the same duration as hours and minutes and as decimal hours.

Does this calculator handle overnight shifts?

Yes. When a clock-out time is earlier than its clock-in time, the calculator treats it as the next day. For example, 22:00–06:00 is eight hours with the break set to zero. Any unpaid break is then subtracted. A period with matching start and end times counts as zero.

Is the lunch break deducted automatically? Can I mark it paid?

The first period of a day starts with a 30-minute unpaid break; additional periods start without one. That amount is deducted once both times are complete. Change the minutes to match your lunch, set zero if no unpaid break occurred, or tick Paid to include the break in your hours. Do not deduct a gap between separate periods twice.

Is overtime calculated daily or weekly?

The default uses hours over 40 in each fixed workweek, with two-week mode evaluating each week separately. Calculation settings also offer a simple daily estimate over eight hours. Combined mode takes the higher daily or weekly estimate, and None disables overtime. These estimates do not implement every state rule or exemption. Verify applicable rules before payroll use.

Can I split one day into several periods?

Yes. Use Add period beneath any day to add as many periods as you need. Give each period its own clock-in, clock-out and break settings. The calculator totals them automatically for that day and week. This works for a morning shift followed by an evening shift without separate manual calculations.

Can I export to CSV, and is my data uploaded?

Download CSV exports your period records and totals with decimal hours as numbers. Copy summary produces tab-separated text you can paste into Excel, and Print creates a readable report. Your entries stay in local browser storage; calculation data is not uploaded and no account is needed to use these actions.
